Project Assistant, Better Evidence

Ariadne Labs is a joint center for health systems innovation at Brigham and Women’s Hospital and the Harvard T.H. Chan School of Public Health. Our goal is to drive scalable solutions for better care at critical moments in people’s lives everywhere. Better care means better health outcomes, lower costs, and more actual caring. Critical means solving health systems failures that have major impact, typically touching people by the millions. Ariadne Labs currently has research programs in the areas of childbirth, surgery, palliative care, and primary health care.

The Better Evidence program at Ariadne Labs works to close the gap between what we know and do in health care. One piece of achieving this vision is to ensure practitioners and trainees routinely access the best possible clinical evidence to provide the best possible care and treatment for patients. Better Evidence for Providers is facilitating access and uptake of evidence-based clinical resources (EBCR) for tens of thousands of clinicians in resource-limited settings to improve care and treatment decisions. Better Evidence for Training is working to develop the habit of accessing the evidence among medical students and educators by facilitating the routine use of EBCR in medical schools in Africa. We are scaling both these programs quickly. In the midst of the global pandemic, we are also working to translate what we know about health care delivery to vaccine delivery and support equitable vaccination. In addition, we support educational programming and research in global health delivery.

We collaborate with a broad range of stakeholders across the world. Under supervision, the Project Assistant will help to spread the project’s reach. This may include providing customer service and responding to inquiries, reviewing and processing large numbers of subscription donation applications, assisting with marketing and communications, conducting landscape analyses of beneficiaries to identify gaps in coverage, maintaining updated promotional or development materials, supporting research projects as requested, working with others to develop or strengthen data collection systems and general administrative support for the team. The position will provide exposure to a wide range of issues in global and public health.

Primary Duties and Responsibilities

  • Communications and Customer Service
    • Respond to inquiries about the program and provide customer service to users presenting questions, feedback, or the need for troubleshooting assistance
    • Assist with communication campaigns, including contacting users with updates and program messaging
    • Develop, format, and maintain slides, documents, tracking systems, and other materials developed by the program team 
    • Communicate effectively with internal partners to move the work forward; Maintain contact information for network of external collaborators, partners, and project stakeholders
    • Represent Ariadne Labs professionally with staff, guests, donors, callers, and external visitors; greet guests, candidates, and donors
  • Administrative Support
    • Perform administrative duties under moderate supervision at a high proficiency level
    • Assist with the planning of meetings including booking travel for participants
    • Schedule, coordinate, and execute meetings and webinars, including preparing meeting materials and taking minutes
    • Coordinate team schedules and provide general administrative support
    • Assist with the development of project work plans, timelines, and reports to funders; Track project deliverables 
    • Process expenses and reimbursements for work-related expenses, including subscriptions and travel
    • Responsible for overseeing the technical aspects and triaging IT-related issues as they arise
  • Research Support
    • Maintain databases and filing systems which includes version control and organization of the program’s knowledge management
    • Handle requests for information and data
    • Perform other related duties and responsibilities as required; provide cross coverage as needed

Preferred Qualifications:

  • BA/BS preferred
  • 3 years of experience (education can count towards experience)
  • Experience working in a matrix organization/environment preferred
  • Proven office administration and customer service skills strongly preferred
  • Ability to learn project content quickly

Preferred Skills:

  • Microsoft Office Suite
  • Familiarity with the Google information environment is valuable (e.g. Google Docs, Google Sheets, Google Drive, etc.)
  • Ability to set-up video and audio conference calls and virtual meetings
  • Written and verbal communication skills (Ariadne Labs may ask for a writing sample and/or administer a skills test) 
  • Project management skills
  • Positive, flexible, professional, and a can-do attitude
  • Ability to work independently and utilize strong interpersonal skills to problem-solve complex issues
  • Ability to meet competing deadlines on time
  • Ability to handle complex and confidential information with discretion
