Senior Project Manager, Home Hospital (2 positions)

Ariadne Labs currently has research programs in the areas of childbirth, surgery, palliative care, home hospital, and primary health care.

Ariadne’s Home Hospital Program is a diverse portfolio of projects focusing on driving advanced care to the home. The team’s largest focus is on acute care at home, or the provision of hospital-level care at home as a substitute for the traditional hospital. The team recently completed a multi-site randomized controlled trial of rural home hospital and a national early adopters accelerator to promote home hospital knowledge products. The team is currently working on the design and implementation of a novel pathway to treat acutely ill patients with psychiatric conditions at home, an international fellowship, a home-based drone program, and mobile advanced rural care program. The goal of the team will be to execute the above projects and grow its portfolio in several strategic areas through grant and user funding.

The Home Hospital team is seeking Senior Project Managers to support and lead the launch of new national, multisite research projects that will advance the innovation and implementation of novel advanced home-based interventions. The Senior Project Manager (SPM) will be responsible for managing the day-to-day affairs of a large multisite research project, internal and external relationship management, ensuring reporting requirements for subcontractors and to funders is accurate and timely, and that staffing of the project is optimized. The SPM will be responsible for the work to be delivered on time, on scope, and on budget while maintaining high quality standards. They will also ensure that their project is integrated and consistent with the work of the Home Hospital Program, provide support to team members, and updates to Ariadne’s leadership on project progress and health.

In partnership with the Assistant Director of Project Management of the Home Hospital Program, the SPM provides both strategic and day-to-day guidance and support to members of the Home Hospital team on their designated project related to the design and implementation of novel advanced home hospital interventions. The SPM is responsible for acting as a thought partner to the project leadership in order to ensure project health and delivery. The role is a bridging function to ensure internal and external team perspectives are considered and integrated into the project approach, while also prioritizing speed and quality. The role must also consider where appropriate flexibility in the approach is required to address feasibility, as well as to mitigate and manage project risk.

Senior Project Managers are considered senior representatives of Ariadne Labs, its mission and its values, both internally and externally. This position requires an individual who is skilled at working collaboratively within Ariadne’s matrix organization to draw in the right expertise at the right time to support the work of the project. This position requires an ability to develop and maintain senior level external relationships through in-person and remote communication. The SPM will report directly to the Assistant Director of Project Management.

Primary Duties and Responsibilities

Home Hospital Program

  • Project planning, including but not limited to: driving the project objectives, building a project plan (including timelines and deliverables that meet those objectives), revising and updating the tasks, timelines, and deliverables as appropriate.
  • Identify potential barriers and opportunities for program and project work, solve problems as they arise, and escalate issues where appropriate to program and Ariadne’s leadership
  • Preparing donor and grant reports, updates, and check-in meetings.
  • Develop and maintain positive relationships with key internal stakeholders to effectively secure Ariadne resources and support, including insight to inform significant program decisions
  • Ensure all work is undertaken in compliance with IRB and any other necessary ethics boards in collaboration with the CMO and/or Ariadne’s ethics specialist
  • In collaboration with the Assistant Director of Project Management of Home Hospital, provide input into the vision and strategy for the Home Hospital Program that is understood within the Home Hospital team, within Ariadne, and with the relevant external partners and stakeholders
  • Represent the Home Hospital Program effectively internally and externally, including composing and delivering regular program communications
  • In collaboration with the other senior leadership members of the Home Hospital program, develop and reinforce strong communication channels and build and maintain a positive team culture, lead integrated program and project planning: annual program planning, alignment of program goals with project objectives, revising and updating of tasks, timelines, and deliverables as appropriate
  • Manage and develop junior team members, including providing guidance on projects where the Senior Project Manager is not deeply involved
  • Manage revenue and grant generating activities for the Home Hospital portfolio including: prioritization opportunities, proposal development and writing, resource coordination, and relationship cultivation
  • Collaborate with the Grants Manager to ensure program and project budgets are managed, tracked, and updated

Ariadne Labs

  • Participate in, and encourage team member participation in, Ariadne Labs’ organizational meetings, updates, and community building activities
  • Assist in communicating Ariadne’s strategic and organizational updates to team members
  • Share learnings from the Home Hospital Program with other Ariadne program teams
  • Model and reinforce Ariadne’s values by serving as a steward of not only the Home Hospital Program, but of Ariadne’s overall mission and goals

QUALIFICATIONS:

  • Masters degree
  • At least 7 years of project management or research coordination experience, including at least 3 years experience in managing multiple projects and people simultaneously

SKILLS/ABILITIES/COMPETENCIES REQUIRED:

  • Experience in a role requiring leadership and collaboration both within an organization and with external partners, as well as a demonstrated ability to work efficiently and diplomatically as part of a team effort
  • Experience managing and mentoring junior team members, both individually and in small teams
  • Experience managing projects using agile methods such as Scrum
  • Experience managing IRB-approved research projects
  • Familiarity with Google Drive (e.g. Google docs, Google Sheets, etc.), Jira, and other project management software tools preferred
  • Familiarity with Microsoft Office suite, including Teams
  • Experience working in a matrix organization/environment preferred
  • Willingness and ability to travel up to 10% of the time
